Position Summary

Supports daily purchasing and vendor coordination activities to ensure smooth warehouse and delivery operations. This role focuses on purchase order processing, supplier communication, delivery tracking, and collaboration with warehouse and finance teams.

Key Responsibilities

1. Purchasing Support

  • Create and process purchase orders under supervision.
  • Follow up with vendors on order confirmations and delivery timelines.
  • Maintain accurate procurement records and documentation.
  • Assist in obtaining and comparing price quotations from suppliers.

2. Vendor Communication & Coordination

  • Communicate effectively with suppliers regarding order status and inquiries.
  • Negotiate pricing, payment terms, and service level agreements.
  • Assist in resolving minor delivery or invoice discrepancies.
  • Maintain strong vendor relationships to ensure on-time delivery and quality compliance.

3. Inventory & Operations Support

  • Coordinate with warehouse teams to track supply requirements.
  • Monitor stock levels of packaging and operational materials.
  • Follow up proactively to prevent stock shortages.

4. Administrative & Reporting Tasks

  • Maintain procurement trackers and spreadsheets.
  • Support monthly spends reporting and basic cost analysis.
  • Ensure compliance with internal purchasing policies and procedures.

5. Cross-Functional Coordination

  • Work closely with Finance and Accounts Payable to ensure timely invoice reconciliation and payment processing.
  • Coordinate with operations teams to prevent stock-outs or excess inventory.

Qualifications

  • Bachelor’s degree in Business, Supply Chain, Finance, or related field (or equivalent experience).
  • 1–2 years of experience in procurement, purchasing, inventory management.
  • Good English communication skills (written and verbal).
  • Strong negotiation and vendor management skills.
  • Proficiency in Microsoft Excel (spend analysis, reporting).
  • Strong organizational and time management skills.
  • Ability to work according to USA Eastern Time Zone business hours.

Job Type: Full-time

Pay: Rs80,000.00 - Rs100,000.00 per month
