Procurement Specialist (Property Supplies)

About us:
We manage multiple rental properties and regularly purchase supplies (maintenance, repairs, renovations). We are looking for someone who can manage vendor quotations and ensure we always purchase at the best possible rates.

Role:
The Procurement Specialist will be responsible for reaching out to multiple vendors, obtaining price quotations, organizing the information, and analyzing it to recommend the most cost-effective options for our units.

Responsibilities

• Connect with vendors (Home Depot, Lowe’s, local suppliers, wholesalers, specialty stores) to request quotations for specified supply lists.
• Collect, compare, and maintain records of vendor quotations.
• Analyze quotes based on unit price, shipping, taxes, discounts, and delivery timelines.
• Provide clear recommendations on the best vendors per supply list and per property.
• Build and maintain positive relationships with vendors for faster and better service.
• Negotiate better pricing or terms where possible.

Requirements

• Strong communication skills (phone, email, vendor relations).
• Experience in procurement, purchasing, or vendor management.
• Analytical skills to compare costs and identify best-value options.
• Strong organizational skills for maintaining vendor databases and quotation records.
• Proficiency with Excel/Google Sheets (must be able to create comparison sheets and reports).
• (Preferred) Experience in property management or construction/maintenance supply chain.

Nice to have

• Familiarity with procurement software or ERP systems.
• Negotiation experience.
• Existing vendor relationships in the construction/property supply space.

Deliverables

• Regular quotation reports (weekly/monthly).
• Vendor comparison sheets showing the best options for each unit.
• Recommendations on supplier selection for upcoming purchases.
