About the Position

Northern Arizona University's Purchasing Department is seeking qualified candidates for the role of Purchasing Specialist, Sr. This is an entry-level position designed to support departments across campus in acquiring the materials and supplies necessary to fulfill the University's mission.

Purchasing Specialists and Purchasing Specialist, Sr. play a vital role in the procurement process by:

  • Assisting departments with ordering and processing materials and supplies by managing vendor payments and departmental material requests, reconciling purchases and ensuring accurate documentation.
  • Successful candidates will receive training to perform purchasing-related transactions in accordance with University policies and standard guidelines.
  • Attention to detail, organizational skills, and a commitment to compliance are key to success in this role.

Purchasing Services oversees all University purchases to ensure decisions are: Informed, Economical, Ethical and Fully compliant with institutional and regulatory standards

Responsibilities Include

60% - Procurement Processing

  • Assist in assembling, researching, and summarizing information from various sources.
  • Perform simple calculations to support transactions.
  • Utilize various purchase methods to procure materials and services of minimal difficulty.
  • Processes purchasing-related requests and transactions.
  • Maintains purchasing-related information.
  • Reviews purchase orders and/or other purchasing-related transactions until completion.
  • Interacts with vendors and staff to distribute, coordinate and facilitate purchasing-related requests, and helps resolve routine day-to- day procurement issues.
  • Uses knowledge of procurement standards, supplier contracts, agreements, claims, waivers, and pricing.

20% - Tracks and Manages Transaction Requests

  • Ensures orders, requests, transactions, claims, waivers, and/or reports adhere to university policy.
  • Tracks orders and confirms delivery dates and costs.

10% - Training

  • Participate in departmental trainings to remain current on Procurement processes and procedures.

5% - Process Development

  • Offer feedback on process improvements and current procedures to improve efficiency and effectiveness of key functional transactions and processes.

5% -Other

  • Other duties as assigned.

Minimum Qualifications

  • High school degree.
  • Limited Prior Experience.
  • A combination of related education, experience, and training may be used as an equivalent to the above Minimum Qualifications.

  • Knowledge of automated procurement and accounts payable systems.
  • Knowledge of supplies, equipment, and services ordering.

Compensation

  • Budgeted salary is $41,000.

Pre-Employment Check

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Also, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

Notice of Availability of the Annual Fire and Security Report

Each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.
