Reporting to the Associate Dean/Executive Director, the Program Coordinator supports three grant-funded initiatives from the New York State Education Department: The Collegiate Science and Technology Entry Program (CSTEP), the Liberty Partnerships Program (LPP), and the Science and Technology Entry Program (STEP). The program coordinator provides guidance to both pre-collegiate and collegiate students. This position involves mentoring, tutoring, and facilitating fall, spring, and summer academic classes. Additional responsibilities include planning workshops and colloquiums, as well as managing databases. Each year, arrangements are made for student conferences, field trips, and college tours. The position includes Saturday hours, travel to local school districts, and occasional overnight obligations for conferences and tours. This position also includes other duties as assigned and is contingent upon grant funding.
Responsibilities include, but are not limited to:
- Meets pre-collegiate and collegiate students, on-campus or online, from assigned caseload covering topics including academic goal setting, action plans, and follow-up—schedules meetings through students and parents where relevant, whether by email or letter.
- Meets with students to discuss academic progress, tutoring, and programmatic adjustments and maintains record-keeping for reports.
- The position also includes being available for drop-in meetings with parents and students and facilitating group sessions covering various topics.
- For pre-collegiate participants, collaborates with partner school counselors covering student programming and student progress and to plan student activities and collect yearly data on programming services.
- Helps coordinate student programming and activities, including student registration, enrollment, classroom assignments, and orientation.
- Collaborates with staff to plan and help facilitate the annual academic bowl, academic showcase, and recognition ceremony.
- Oversees planning and coordination of educational laboratory visits.
- Performs database management including collecting data for midyear and final reports.
- Helps collect and record student data for the New York State Education Department reports, including maintaining reports on all CSTEP, LPP, and STEP program participants.
- Coordinates with staff members to manage student enrollment and participation.
- Manages relationships with parents or guardians for pre-collegiate tutees and the tutorial schedule.
- Assists with directing and overseeing recognition and celebratory activities for pre-collegiate and collegiate student populations performing duties to include sending invitations, producing student certificates, teacher evaluations, etc.
- Assists with coordinating all activities associated with conference preparation for students (pre-collegiate and collegiate), including registration, research presentations, hotel accommodations and travel arrangements, pre-trip meetings, etc.
- Performs other related duties as assigned.
