Project Administration Assistant

Position Overview

We are seeking a highly organized and detail-oriented Project Coordinator to join our growing team. This is an administrative-heavy position that supports our project management and construction teams by overseeing the contractual and procedural coordination with subcontractors from project start to closeout.You will play a vital role in ensuring timely execution of contracts, managing documentation, tracking Notice to Proceeds (NTPs), and providing critical administrative support throughout the project lifecycle.

Key Responsibilities

  • Draft, track, and manage subcontractor contracts, ensuring accuracy and timely execution
  • Organize and maintain Notice to Proceed (NTP) records, lien waivers, and compliance documents
  • Coordinate with internal teams to ensure subcontractor onboarding is complete and compliant
  • Monitor contract milestones and expiration dates, providing reminders and updates
  • Maintain organized digital and physical filing systems for all project documents
  • Provide administrative support for RFI logs, change orders, and submittal documentation
  • Serve as a communication hub between project managers, field personnel, and subcontractors
  • Assist with scheduling, documentation, and reporting as needed

Qualifications

  • Minimum 3 years of administrative experience, preferably in construction or related industry
  • Strong administrative experience, office management or other contract related fields encouraged to apply
  • Strong organizational skills with acute attention to detail
  • Ability to handle multiple projects and meet deadlines
  • Proficient with Microsoft Office (Excel, Word, Outlook)
  • Familiarity with construction documentation and terminology is highly preferred
  • Excellent written and verbal communication skills
