Position Summary


The Project Manager is responsible for managing customer orders from start to finish. They are the key link in communicating with our sales reps/customers for order and shipping questions as well as working closely with our production and logistics departments to ensure that every order is processed and delivered on time. The ability to anticipate problems and plan ahead is essential for success in this position. Please note, this job is a project management-based position that requires the ideal candidate to be a strong multi-tasker who thrives in a fast-paced environment.


Essential Duties and Responsibilities


  • Responsible for order entry in our ERP system, item set-up, and various other components for each order.
  • Coordinate and follow up with other departments from time of receipt to delivery of goods to ensure that all aspects of orders are completed in a timely manner.
  • Communicate with team members and outside contractors in a professional and concise manner.
  • Track and report order statuses while making sure orders ship without issue.
  • Process all incoming POs via EDI.
  • Make sure all internal and customer specific processes are being followed.
  • Review vendor manuals and communicate with sales rep to clarify any potential issues in a proactive manner.
  • Overall proactive approach to work, taking ownership of tasks, moving forward as appropriate to meet deadlines and objectives.
  • Research and resolve chargebacks from customers to prevent future occurrences.


Minimum Qualifications


  • Detail oriented, self-motivated, and proactive with strong critical thinking skills
  • At least 2 years of experience managing order flow and projects
  • Ability to follow directions and ask clarifying questions
  • Intermediate to Advanced Excel knowledge
  • Strong organization and time-management skills
  • Experience with ERP systems
  • Proficient in Microsoft office
  • Effective communication and interpersonal skills
  • Ability to work in a fast paced and performance-based environment


Preferred Qualifications


  • Production/Wholesale/Supply Chain business knowledge
  • Knowledge of warehouse flow & inventory reconciliation practices
  • Experience entering and retrieving data on web-portals and various vendor sites
  • Experience with EDI / Vendor Portals
  • Database set-up and management


Working Conditions


The environment can be fast-paced and requires the ability to multi-task and prioritize tasks to meet various deadlines. Although it is a casual work environment, professionalism and proper work etiquette are expected.


Physical/Mental Requirements


This position is mostly stationary. The employee is occasionally required to stand; walk and stoop. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus in order to accommodate frequent reading and analyzing details on various spreadsheets and templates. The person in this position frequently communicates with various other departments and must be able to exchange accurate information in these situations. High levels of problem solving, analytical thinking and interpreting data are required daily in order to make the appropriate decisions in each scenario.
