Project Operations Coordinator – Interior Design Studio

Part-Time (20 Hours/Week) | Hybrid Position

We are seeking a highly organized, detail-oriented Project Operations Coordinator to support a fast-paced interior design studio. This role is responsible for maintaining structure, tracking, and follow-through across all active projects so the design and project team can focus on execution, drawings, and client work.

This is an internal operations role only and does not involve client communication or design decision-making.

Schedule

  • Approximately 20 hours per week
  • Hybrid role
  • Meetings held 3x per week (Monday, Wednesday, Friday) in person or by phone
  • Flexible availability outside of meetings for updates, tracking, and follow-through

Role Purpose

This position exists to maintain organization and execution systems across all projects by tracking tasks, orders, timelines, and documentation.

The Project Operations Coordinator does not create task direction or interpret priorities independently, but instead ensures that instructions, action items, and updates provided by the project manager/design team are accurately tracked and completed.

Key ResponsibilitiesProject Tracking & Organization

  • Maintain and update all project tracking systems (tasks, timelines, spreadsheets, and documentation)
  • Organize project files, notes, receipts, and records
  • Keep all project information accurate and up to date across multiple active jobs

Order Tracking & Vendor Follow-Up

  • Maintain a centralized system tracking all project orders (furniture, lighting, fabrics, window treatments, accessories, etc.)
  • Log orders once they are placed by the design team using provided receipts and confirmations
  • Track order status from purchase through delivery and installation
  • Monitor lead times, shipping updates, and delivery schedules
  • Follow up with vendors as needed regarding shipping or delays
  • Flag missing information, delays, or issues to the project team immediately

Task & Workflow Support

  • Maintain structured task lists provided by the project manager/design team
  • Track completion of assigned tasks across all projects
  • Send reminders and follow-ups based on defined priorities
  • Support preparation of internal meeting agendas and updates

Key Boundary of Role

  • Does NOT interpret meeting notes or create task prioritization independently
  • Does NOT assign “hot items” or determine urgency
  • Does NOT make design decisions or client communications
  • Does NOT place orders or initiate purchases
  • Works strictly from direction provided by the project manager/design team

All task direction, prioritization, and interpretation of project needs is handled internally by the project manager/design lead.

  • Enjoys consistency, structure, and accountability

Preferred Experience

  • Experience in project coordination, operations, administration, or similar roles
  • Familiarity with Excel, Google Sheets, Notion, or similar tools
  • Experience in interior design, construction, or creative environments is a plus

Pay: $20.00 per hour
