Property Management Assistant

Job Overview

We are looking for a proactive, detail‑driven Property Management Assistant to join our close‑knit, fast‑paced property management team. In this essential role, you will support the daily operations of our portfolio and help ensure seamless communication between tenants, vendors, and property owners. Your strong organizational skills, professional communication style, and ability to anticipate needs will contribute to maintaining exceptional service standards, regulatory compliance, and efficient administrative workflows. Responsibilities

  • Coordinate and track maintenance requests through the facilities management system, ensuring timely updates and completion of work orders.
  • Perform accurate data entry, filing, and record‑keeping for tenant files, contracts, and legal documents to support smooth administrative processes.
  • Deliver exceptional customer service by responding promptly and professionally to tenant inquiries and concerns via phone or email, demonstrating strong communication and conflict‑resolution capabilities.
  • Assist with vendor communication and support negotiation efforts to ensure quality service and cost‑effective property upkeep.
  • Provide general administrative support, helping maintain an organized and efficient office environment.

Qualifications

  • Previous experience in property management or real estate administration preferred.
  • Strong customer service skills, including professional phone etiquette and the ability to handle conflicts with tact and composure.
  • Proficiency in data entry, filing systems, and administrative workflows; working knowledge of Microsoft Excel and Word required.
  • Effective negotiation skills for interacting with vendors and service providers.
  • Ability to manage multiple priorities in a fast‑paced setting while maintaining exceptional attention to detail.
  • A positive, enthusiastic attitude with the flexibility to adapt and support the needs of a growing office.

Job Types: Full-time, Part-time

Pay: From $27.00 per hour

Expected hours: 30.0 – 40.0 per week
