POSITION SUMMARY:
The Events & Spaces Assistant assists customers with Library space reservations and during their use of the Library spaces, and provides support for meetings and special events.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
  • Uses the Library’s reservation system to schedule and manage reservation times.
  • Assists customers with meeting room reservations and any questions or needs that arise during their meeting room reservation.
  • Assists customers and staff with various technologies for use during their reservation in meeting rooms and Library spaces.
  • Supports meetings and special events as directed.
  • Responds to outside inquiries for use of Library space.
  • Fosters positive working relationships with all internal and external partners regarding assistance with meetings, conferences, events, exhibits, and room setups.
  • Performs general administrative duties, such as ordering supplies, managing calendars, maintaining contacts lists, providing telephone coverage, handling mail and fax processing and distribution, and maintaining agency files.
  • Interprets the Library’s policies and procedures to the public in a customer-friendly manner.
  • Greets and directs customers and provides tours of Main Library facilities.
  • Supports and advances the Library’s mission of connecting people with the world of ideas and information.
  • Embraces and embodies the Library’s core beliefs, strategic priorities, and pillars of excellence.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of standard administrative practices, including scheduling, record-keeping, and correspondence management.
  • Skill in customer service.
  • Ability to work independently and with coworkers in a wide variety of situations with minimal supervision.
  • Ability to use all technology applicable to the essential functions of the job and commonly used by the Library.
QUALIFICATIONS:
  • Education: High school diploma or equivalent is required.
  • Certifications or licensure: None.
  • Years of relevant experience: None.
  • Years of experience supervising: None.
HOURS:
20 hours per week, including evenings and weekends.
SALARY:
$17.48
