Job Brief:
The Public Relations Officer (PRO) will act as the primary liaison between the company and various governmental authorities in Qatar, including the Ministry of Labour, Immigration, and Traffic Department. The PRO will ensure timely processing of all employee-related documentation, visas, permits, and official transactions. The role also involves overseeing administrative and logistics tasks related to employee offboarding, contract management, and camp inspections. The ideal candidate should be proficient in HR systems, familiar with GPS vehicle tracking systems, and capable of managing multiple administrative processes efficiently.
Key Responsibilities:
Government Liaison & Compliance:
- Coordinate with governmental bodies (Immigration, Ministry of Labour, Traffic Department) to complete all employee-related transactions.
- Ensure timely renewal of employees’ official documents to avoid grace period violations.
- Apply for new joiners’ visas promptly and monitor visa approval status daily
Employee Onboarding & Documentation:
- Update recruitment reports with new joiners’ visa details.
- Schedule medical tests and fingerprint scans for all new joiners, ensuring timely completion and reporting results to HR.
- Pay residency permits (R.P) fees for new joiners and renewals using the HR visa card.
- Arrange electronic employment contracts on the Ministry of Labour portal.
- Facilitate contract attestations with the Ministry of Labour.
Official Letters & Requests:
- Prepare and issue official letters in Arabic as required.
- Handle requests for new visa approvals, visa adjustments, and sponsorship transfers.
Administrative & Financial Tasks:
- Pay utility bills (Oreedoo, Kahramaa) online using the HR visa card.
- Submit statements of account to Finance detailing all transactions and receipts.
- Renew driving licenses and medical cards for employees as needed.
Logistics & Employee Welfare:
- Handle purchase orders for logistics and procurement requests.
- Conduct inspections for employee accommodations/camps to ensure compliance and standards.
- Conduct exit interviews for departing employees.
Systems & Technologies:
- Proficient in HR systems and relevant software for employee management.
- Familiarity with GPS systems for vehicle tracking is an added advantage.
Job Requirements:
- Bachelor’s degree in Business Administration, HR, Public Relations, or a related field.
- Should hold a valid Qatari driving license and residency permit
- Minimum 3–5 years of experience as a PRO or similar role in Qatar.
- Strong knowledge of Qatari labor laws, immigration procedures, and government processes.
- Proficiency in HR systems and MS Office applications.
- Excellent communication skills in both Arabic and English.
- Strong organizational skills and ability to handle multiple administrative tasks simultaneously.
- Detail-oriented and capable of working independently with minimal supervision.
- Familiarity with GPS vehicle tracking systems is advantageous.
