Role: Purchase & Admin Manager

About the Role

We are looking for a highly organized and detail-oriented Purchase & Admin Manager to oversee procurement, vendor management, inventory control, and administrative operations. The role requires strong negotiation skills, financial discipline, and the ability to manage vendor relationships while ensuring smooth supply chain operations across outlets.

Key Responsibilities:

  • Identify, evaluate, and negotiate with vendors for key categories such as tea, milk, snacks, packaging, disposables, and infrastructure
  • Finalize and maintain rate contracts with agreed pricing, delivery timelines, and credit terms
  • Ensure vendor compliance related to quality, timelines, and invoicing accuracy
  • Oversee timely delivery of supplies to franchise and company-owned outlets
  • Optimize logistics operations to minimize stock-outs and reduce transportation costs
  • Maintain safety stock levels and reorder triggers through MIS tracking
  • Monitor and control purchase price variance (PPV) against agreed contracts
  • Track key cost metrics such as food cost % and packaging cost %, ensuring alignment with finance KPIs
  • Identify and eliminate hidden costs such as wastage, leakage, and pilferage
  • Implement and monitor inventory management SOPs (GRN, stock registers, FIFO)
  • Conduct monthly stock audits and track consumable usage across outlets
  • Manage vendor payments, monitor credit aging, and negotiate favorable credit terms
  • Handle procurement for new outlet infrastructure and coordinate general admin tasks such as license renewals and utility payments
  • Maintain vendor contracts and compliance documentation (GST, FSSAI, PAN, agreements)

Requirements:

  • Bachelor’s degree in Supply Chain, Business Administration, or a related field
  • 4–7 years of experience in procurement, vendor management, or administration roles
  • Strong negotiation, analytical, and cost-control skills
  • Proficiency in MS Excel and inventory management systems
  • Excellent organizational and multitasking abilities
  • Strong understanding of budgeting, compliance, and operational coordination
