Job Description

The Purchase Manager is responsible for overseeing the procurement process, including sourcing and negotiating with suppliers, managing inventory, and ensuring cost-effective purchasing. The role involves managing supplier relationships, negotiating and ensuring timely delivery of goods. The Purchase Manager collaborates with various departments to align procurement activities with organizational goals and ensure efficient supply chain management.

Duties and Responsibilities

1. Oversee the procurement of a wide variety of jewellery products from current suppliers and manufacturers, ensuring quality and adherence to company standards.

2. Evaluate and approve the showroom material requirements based on the current inventory levels.

3. Collaborate with suppliers to initiate purchase orders and ensure timely fulfilment of all orders through regular follow-ups.

4. Assess inventory levels and forecast demands to manage stock effectively, ensuring optimal inventory levels and minimizing excess or obsolete stock.

5. Negotiate pricing terms with suppliers to secure favourable conditions and cost-effective sourcing for the company, enhancing profitability.

6. Coordinate with showroom managers and the purchasing team to fulfil stock requirements in a timely manner, ensuring that showrooms are adequately stocked to meet customer demand.

7. Monitor, replenish, and optimize inventory levels to maintain a balance between supply and demand while minimizing carrying costs.

8. Conduct regular market research to stay informed about the latest industry trends, competitor offerings, and opportunities for new product sourcing.

9. Collaborate with internal teams, including design, marketing, and sales, to identify new and trending products that align with customer preferences and business goals, ensuring a competitive product offering.

10. Collaborate with the sales team to gather feedback on new collections for future reference.

11. Build and nurture long-term partnerships with key suppliers to ensure timely delivery of goods and services. Maintain regular communication and negotiate terms to enhance procurement efficiency.

12. Work with the finance team to process supplier payments in accordance with company policy.

13. Work closely with finance, sales, marketing, and inventory management teams to develop and implement liquidity plans for aging stock. Identify slow-moving or obsolete inventory and create strategies to reduce it through promotional campaigns, discounts.

14. Perform regular and systematic reviews of supplier performance based on criteria such as product quality, delivery timelines, pricing consistency, and adherence to contract terms.

15. Provide leadership and guidance to the procurement team, setting clear objectives, monitoring individual and team performance, and implementing processes to improve overall efficiency and effectiveness.

16. Select logistics partners to ensure timely delivery of materials to the respective branches, optimizing logistics costs and ensuring efficient transportation and distribution processes.

17. Review the showroom-level purchasing process, and provide necessary training to correct any identified issues.
