Job Summary
The Purchase Manager is responsible for planning, sourcing, negotiating, and purchasing food raw materials such as rice, flour, sugar, grains, and other food commodities while ensuring quality, cost efficiency, timely delivery, and food safety compliance.
Key Responsibilities
Procurement & Vendor Management
- Source and purchase food commodities (rice, flour, sugar, pulses, etc.) as per production and sales requirements
- Identify, evaluate, and onboard reliable suppliers and millers
- Negotiate pricing, payment terms, delivery schedules, and contracts
- Maintain strong relationships with suppliers to ensure continuous supply
- Oversee import and export operations, ensuring timely delivery and compliance with UAE regulations.
- Handle all import/export documentation such as Bill of Lading, Commercial Invoice, Packing List, and Certificates.
- Coordinate with suppliers, freight forwarders, and clearing agents for smooth shipment processing.
- Ensure compliance with customs, municipality, and food safety standards for all imported/exported goods.
Quality & Compliance
- Ensure all purchased materials meet food safety standards, quality specifications, and regulatory requirements
- Coordinate with QA/QC team for inspection, sampling, and approvals
- Ensure suppliers comply with HACCP, ISO, FSSAI / local food authority regulations (as applicable)
Cost Control & Planning
- Monitor market trends, price fluctuations, and availability of food commodities
- Control procurement costs and achieve savings without compromising quality
- Prepare purchase budgets and forecast raw material requirements
Inventory & Supply Chain Coordination
- Coordinate with stores, production, and logistics teams to maintain optimum stock levels
- Avoid overstocking, shortages, and wastage
- Ensure timely delivery of materials to warehouse or production units
Documentation & Reporting
- Prepare and issue purchase orders
- Maintain accurate procurement records, contracts, and supplier documentation
- Generate purchase reports, cost analysis, and supplier performance reports
Skills & Competencies
- Strong knowledge of food commodities market (rice, flour, sugar, grains)
- Negotiation and vendor management skills
- Understanding of food safety and quality standards
- Analytical and cost-control mindset
- Good communication and coordination skills
- ERP / purchase software knowledge preferred
Qualifications & Experience
- Bachelor’s degree in Supply Chain, Commerce, Business Administration, or Food Technology
- Minimum 4 years of experience in procurement within a food manufacturing or FMCG company
