Job Summary
The Purchasing Assistant supports the procurement function by coordinating purchases of food items, packaging, kitchen supplies, and operational materials. This role ensures timely sourcing, accurate documentation, cost control, and compliance with company standards, while supporting smooth operations across all Evergreen Organics outlets and the central kitchen.
Key Responsibilities
- Assist in sourcing, ordering, and tracking food ingredients, packaging, and operational supplies
- Prepare and process purchase orders in the system (e.g., Odoo)
- Coordinate with approved suppliers regarding pricing, availability, delivery schedules, and invoices
- Monitor stock levels and support inventory planning to avoid shortages or overstock
- Ensure all purchases comply with quality standards, specifications, and food safety requirements
- Verify delivery quantities, quality, and documentation against purchase orders
- Support cost-control initiatives by comparing prices and identifying cost-saving opportunities
- Maintain accurate procurement records, supplier files, and documentation
- Coordinate with outlets, central kitchen, and finance for purchase approvals and invoice reconciliation
- Assist with supplier evaluations and maintaining good supplier relationships
- Report any delivery issues, discrepancies, or quality concerns promptly
Requirements & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Supply Chain, or a related field (preferred)
- Previous experience in purchasing or procurement, preferably in F&B or hospitality
- Familiarity with inventory systems and ERP software (Odoo experience is an advantage)
- Strong organizational and follow-up skills
- Good communication skills in English (Arabic is a plus)
- Basic knowledge of food ingredients, packaging, and kitchen supplies is an advantage
- Ability to work under pressure and meet deadlines
