Purchasing Assistant

Job Summary:

The Purchasing Assistant supports the procurement function by assisting with the sourcing, ordering, and tracking of materials, supplies, and services required for production and operations. This role ensures timely and accurate processing of purchase orders, maintains vendor communication, and supports inventory and supply chain efficiency.

The Purchasing Assistant works closely with production, logistics, and vendors to ensure materials are available to meet operational demands.

Responsibilities:

  • Assist in the creation and processing of purchase orders for materials, supplies, and services
  • Track and follow up on orders to ensure on-time delivery
  • Communicate with vendors regarding pricing, availability, lead times, and order status
  • Maintain accurate purchasing records, including order confirmations, invoices, and receipts
  • Support inventory management by monitoring stock levels and notifying appropriate personnel of shortages
  • Coordinate with production and logistics teams to align purchasing activities with operational needs
  • Assist in resolving discrepancies related to orders, including pricing, quantities, or damaged materials
  • Maintain and update vendor information and pricing in ERP systems
  • Support cost control efforts by identifying pricing discrepancies or opportunities for savings
  • Prepare reports related to purchasing activity, order status, and vendor performance
  • Ensure compliance with company purchasing policies and procedures

Qualifications:

  • Experience: 3 years of experience in purchasing or procurement administrative support
  • Education: High school diploma or equivalent required; Associate’s degree in Business, Supply Chain, or related field preferred
  • Experience in a manufacturing or industrial environment preferred
  • Experience with ERP systems and purchasing software preferred
  • Proficiency in Microsoft Office (especially Excel and Outlook)

Knowledge, Skills, & Abilities

  • Strong organizational and time management skills
  • Attention to detail and accuracy in data entry and documentation
  • Basic understanding of purchasing and inventory processes
  • Effective communication skills with vendors and internal teams
  • Ability to manage multiple priorities in a fast-paced environment
  • Problem-solving skills with the ability to resolve issues efficiently

Physical Requirements:

  • Ability to sit, stand, and move throughout the workday
  • Occasional lifting of office materials or small packages (up to 25 lbs.)
  • Ability to work in various environmental conditions common to a manufacturing facility (e.g., varying temperatures, noise levels, potential for dust/debris, and wet floors).

Work Schedule:

  • Monday-Friday, 8:00am to 4:0pm
  • Depending on production needs, some weekend work may be required.

Benefits:

  • Allied employees will be eligible for the Allied benefit package on the 1st day of the month following 60 days.
