About the Role

We are an international export company seeking a highly organized, detail-oriented, and proactive Purchasing Coordinator to join our operations team. You will serve as the central point of contact between our suppliers, internal departments, and logistics teams; ensuring accurate, timely, and cost-effective procurement of goods. This role requires someone who is assertive, a strong communicator, and fully fluent in both English and Spanish, as a significant portion of daily work involves bilingual vendor communication via phone and email.

Key Responsibilities

  • Purchase Order Management: Review, process, and track purchase orders from creation through confirmed delivery.
  • Order Acknowledgment Verification: Verify that supplier order acknowledgments match the original PO; flagging and resolving any discrepancies before shipment.
  • Shipment Tracking: Monitor inbound shipments and proactively follow up with vendors to ensure on-time delivery.
  • Bilingual Phone & Email Handling: Manage a high volume of incoming calls and emails in both English and Spanish with professionalism and urgency.
  • Supplier Relations: Maintain day-to-day contact with international suppliers, assertively following up to ensure commitments are met.
  • Returns & Dispute Resolution: Contact suppliers promptly to address merchandise discrepancies, damages, and returns.
  • Cross-Department Collaboration: Coordinate with logistics, finance, and operations to align purchasing with company needs and budget.
  • Records & Data Entry: Keep accurate procurement records, PO logs, and communication history organized and up to date.

Requirements

  • High school diploma required; Associate’s or Bachelor’s degree in Business, Supply Chain, or related field preferred
  • 1–3 years of experience in purchasing, procurement, logistics coordination, or a similar role
  • Experience in an import/export or international trade environment is strongly preferred
  • Full fluency in English and Spanish; reading, writing, and speaking (required)
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and data entry
  • Familiarity with SAGE 50 Accounting software is a plus
  • Knowledge of shipping terms (Incoterms) and import/export documentation is a plus

Pay: $20.00 - $25.00 per hour
