Purchasing Executive

About the Role

The Procurement Executive will be responsible for sourcing, negotiating, and purchasing materials, goods, and services required for the company’s operations. This role ensures cost-effective procurement while maintaining quality standards, timely delivery, and strong vendor relationships.


Key Responsibilities

1. Procurement & Sourcing

● Identify, evaluate, and select suppliers based on quality, pricing, and delivery timelines.

● Request, review, and compare quotations to ensure cost effectiveness.

● Follow the complete procurement cycle from PR to PO to delivery.


2. Vendor Management

● Build and maintain strong relationships with vendors and service providers.

● Track supplier performance and resolve any issues related to quality, delay, or pricing.

● Maintain a vendor database and update vendor agreements/contracts as required.


3. Order & Inventory Coordination

● Coordinate with internal teams (operations, production, warehouse, finance) to determine material requirements.

● Ensure materials are delivered on time and as per specifications.

● Monitor stock levels and plan procurement to avoid shortages.


4. Negotiation & Cost Control

● Negotiate pricing, payment terms, and contract terms with suppliers.

● Work on cost-saving initiatives without compromising on quality.


5. Documentation & Compliance

● Prepare and process Purchase Orders (PO), GRNs, and related procurement documents.

● Maintain accurate records of purchases, pricing, and vendor information. ● Ensure adherence to company policies and compliance standards.


6. Reporting

● Prepare procurement reports, spend analysis, and supplier performance dashboards.

● Provide regular updates to management on procurement status and challenges.
