Real Estate Administrative AssistantPosition Summary

The Real Estate Administrative Assistant provides day-to-day administrative support to real estate agents, brokers, property managers, or the real estate department. This role ensures efficient office operations, assists with transaction coordination, manages documentation, and supports client and tenant communications.

Key ResponsibilitiesAdministrative Support

  • Provide direct administrative support to real estate agents, brokers, or management team
  • Manage calendars, schedule appointments, property showings, and meetings
  • Prepare correspondence, reports, presentations, and contracts
  • Maintain organized filing systems (digital and paper)
  • Answer phones and respond to emails in a professional manner

Transaction Coordination

  • Assist with preparing listing agreements, purchase contracts, leases, and addendums
  • Track transaction timelines and ensure deadlines are met
  • Coordinate inspections, appraisals, and closing appointments
  • Collect and organize required documents for closings
  • Maintain transaction files for compliance purposes

Client & Tenant Support

  • Serve as a point of contact for clients, tenants, and vendors
  • Assist with tenant onboarding and move-in/move-out processes
  • Respond to inquiries and route maintenance or service requests appropriately
  • Maintain updated contact and lease records

Marketing & Listings Support

  • Update property listings on MLS and marketing platforms
  • Assist with creating flyers, brochures, and email campaigns
  • Coordinate signage, photography, and marketing materials
  • Manage CRM system and track leads

Financial & Reporting Assistance

  • Assist with invoice processing and expense tracking
  • Support rent tracking and payment follow-ups
  • Prepare basic reports as requested

Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree preferred
  • 1–3 years of administrative experience (real estate experience preferred)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Familiarity with MLS, CRM, or property management software preferred
  • Strong organizational and multitasking skills
  • Excellent communication skills (written and verbal)

Job Type: Full-time

Pay: AED4,000.00 - AED4,500.00 per month
