Reception Coordinator & Administrative Support

The rapid growth of our firm brings an opportunity to join one of Northwestern Mutual’s premier Private Client Groups, Erkel & Erkel, as Reception Coordinator & Administrative Support in Prior Lake, MN.

General Responsibilities:

The responsibility of this position is to serve as the initial contact for clients and guests at our office as well as to assist the team with administrative work as needed. Specific responsibilities include but will not be limited to:

  • Greet guests and direct them appropriately
  • Answer, screen, and direct telephone calls
  • Process incoming mail, and communicate with courier to ensure prompt delivery and pickup of mail
  • Maintain the reception area and common spaces of the office
  • Answer basic client questions and redirect calls appropriately
  • Care for scheduling client meetings and updating client records as needed
  • Make copies, send, and distribute emails and maintain copy machines
  • Act as administrative support for the team as needed
  • Complete and/or assist with projects as assigned by the team
  • Assist with proper office security with regards to guests and vendors
  • Maintain inventory and order office supplies as needed
  • Assist with office facilities and maintenance and serve as a point of contact

Qualifications:

It is recommended that the Reception Coordinator/Administrative Support position have the following qualifications:

  • High school diploma or equivalent required
  • 2-year associate’s degree in a business-related field preferred
  • Minimum 1-3 years related experience preferred
  • Ability to independently and interdependently manage your role on the team
  • High level of computer and Microsoft Office Suite experience
  • Multi-line phone experience preferred
  • Excellent client service, interpersonal, and relationship building skills
  • Ability to manage detailed work with high degree of accuracy & reliability
  • Ability to apply critical thinking skills and problem solve
  • High level of organizational skills
  • Excellent written and oral communication skills
  • Ability to multi-task and work hard
  • Ability to be flexible and open-minded
  • Ability to collaborate effectively with people at all levels

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
