Receptionist – Duties and Responsibilities Front Desk Management Greet visitors, clients, and staff in a professional and friendly manner. Answer and direct incoming calls promptly. Maintain a tidy and welcoming reception area. Communication & Coordination Handle incoming and outgoing correspondence (emails, letters, couriers). Manage inquiries and provide accurate information or direct them to the concerned department. Coordinate with internal departments for smooth office operations. Visitor & Appointment Handling Maintain visitor logbooks and issue visitor passes. Schedule and confirm appointments, meetings, and conference room bookings. Notify staff of visitor arrivals promptly. Administrative Support Assist in filing, photocopying, scanning, and other clerical duties. Maintain office supplies inventory and place orders when necessary. Support HR or Admin teams in handling documents and employee records. Customer Service Provide assistance to walk-in clients and respond to inquiries courteously. Handle complaints or issues professionally and escalate when needed. Office Support Monitor and manage incoming deliveries (mail, parcels, courier). Ensure proper distribution of documents and packages to staff. Assist in organizing company events and staff requirements as needed. Compliance & Confidentiality Adhere to company policies and procedures. Maintain confidentiality of sensitive information.
