Job Summary:
We are seeking a professional, well-presented, and service-oriented Receptionist to join our team on a temporary basis to cover maternity leave. The ideal candidate will play a key role in maintaining smooth office operations, creating a welcoming environment for clients and visitors, and providing administrative and coordination support to the wider real estate team.
Responsibilities of the role:

Client Relationship Management

Serve as the first point of contact for clients, visitors, and partners, ensuring professional and courteous experience.

Respond to client inquiries efficiently, providing accurate information and directing them to the appropriate team members.

Maintain a high level of service excellence and always contribute to a positive client experience.

Office Operations & Administration

Manage the reception area, ensuring it remains organized, professional, and representative of the company’s brand.

Oversee incoming and outgoing correspondence, mail, and deliveries.

Maintain office supplies and coordinate with vendors and external contractors for facility-related needs.

Support daily office logistics and resolve minor operational issues promptly.

Scheduling & Coordination

Manage meeting room bookings, visitor parking arrangements, and driver schedules.

Demonstrate strong organizational and time management skills with experience using Microsoft Outlook and shared calendars.

Assist with coordinating internal and external meetings or events as needed.

Collaboration & Real Estate Support

Work closely with brokers, agents, and administrative teams to ensure seamless client handovers and lead tracking.

Maintain and update CRM systems such as Salesforce, and support with lead management on Property Finder, Bayut,and Dubizzle.

Ensure data accuracy and timely entry of listings, inquiries, and follow-ups.

Previous experience in a reception, front office, or administrative role, ideally within a real estate or professional services environment.

Excellent communication and interpersonal skills, with a polished and professional demeanor.

Strong organizational abilities and attention to detail.

Proficiency in Microsoft Office Suite and familiarity with Salesforce or similar CRM platforms.

Ability to multitask effectively and maintain composure in a fast-paced environment.

Available to join immediately or within short notice for a temporary maternity cover contract.
