Job Purpose
To manage front desk operations of the veterinary hospital while supporting clinical coordination using basic veterinary knowledge, ensuring excellent service for pet owners and smooth patient flow.
Key Responsibilities
Front Desk & Customer Service
- Welcome pet owners and their animals in a friendly and professional manner
- Handle phone calls, WhatsApp, and appointment bookings
- Provide basic information about services, treatments, and pricing
- Manage patient registration and update records
Veterinary Support (Basic)
- Understand common veterinary procedures and terminology
- Assist in triaging cases (emergency vs routine) and prioritize appointments
- Coordinate between veterinarians, nurses, and clients
- Provide pre-visit and post-visit instructions to pet owners (as advised by vets)
Billing & Administration
- Prepare invoices and process payments (cash/card)
- Maintain daily cash and billing records
- Handle insurance documentation (if applicable)
- Maintain proper filing of medical and administrative records
General Duties
- Ensure reception area is clean and organized
- Follow hygiene and infection control protocols
- Support stock coordination for front desk items
- Maintain confidentiality of client and patient information
- Key Performance Indicators (KPIs)
- Customer satisfaction and service quality
- Appointment scheduling accuracy
- Billing accuracy and cash handling
- Response time to calls and inquiries
- Requirements
- Diploma/Degree in Veterinary Science, Animal Care, or related field
- 2–3 years of experience in a veterinary clinic/hospital (preferred)
- Knowledge of basic veterinary terminology and procedures
- Experience with clinic management/POS systems
- Good communication skills (English required; Arabic is a plus)
