Job Summary:

Responsible for managing front office operations, greeting visitors, handling calls, coordinating communication, assisting management with administrative support, and ensuring a professional, efficient, and welcoming environment for clients, guests, and employees.

Key Responsibilities:

Reception & Front Desk Duties

  • Greet and welcome visitors and clients professionally.
  • Answer and route phone calls promptly and accurately.
  • Manage front desk cleanliness and ensure a pleasant atmosphere.
  • Maintain visitor logbook and issue visitor passes.
  • Handle incoming and outgoing mail, packages, and courier services.

Customer Service

  • Respond to customer inquiries via phone, email, or in-person courteously and efficiently.
  • Coordinate with relevant departments to resolve client issues.
  • Maintain customer feedback records and assist in service improvement.
  • Support the sales and operations team in client coordination when required.

Secretarial & Administrative Support

  • Prepare correspondence, reports, and meeting minutes.
  • Schedule meetings, appointments, and travel arrangements for management.
  • Maintain filing systems, office records, and databases.
  • Handle confidential information with discretion and professionalism.
  • Coordinate with HR and other departments for administrative tasks.

Office Coordination

  • Manage office supplies, stationery, and pantry stock.
  • Ensure smooth communication between departments.
  • Assist in organizing company events, meetings, and visits.
  • Support in documentation and report compilation as assigned.
