Job Description :

As a Female Receptionist, you will be responsible for providing exceptional front desk support and ensuring the efficient operation of the office. Your duties will include handling incoming calls, greeting visitors, managing office inventory, and sending emails. This role requires excellent communication skills, organizational abilities, and a friendly demeanor.

Responsibilities:

Front Desk Management:

  • Greet and welcome visitors with a friendly and professional attitude.
  • Direct visitors to the appropriate person or department.
  • Maintain a clean and organized reception area.

Handling Calls:

  • Answer incoming calls and direct them to the appropriate person or department.
  • Take and deliver messages accurately and in a timely manner.
  • Ensure all telephone inquiries are handled courteously and professionally.

Email Correspondence:

  • Compose and send emails on behalf of the office.
  • Manage and organize incoming emails, ensuring they are forwarded to the correct recipients.
  • Maintain email records and archives as needed.
  • Office Inventory Maintenance:
  • Monitor and replenish office supplies, such as stationery, and other office materials
  • Keep track of inventory levels and place orders as necessary.
  • Maintain records of office expenses related to inventory.

Mail Handling:

  • Sort and distribute incoming mail and packages.
  • Prepare outgoing mail, including postage and packaging as required.

Appointment Scheduling:

  • Schedule appointments and meetings for staff members when requested.
  • Send reminders and notifications regarding appointments.

Security and Access Control:

  • Monitor access to the office and ensure only authorized personnel enter.
  • Issue visitor badges and maintain visitor logs.

Administrative Support:

  • Provide administrative support to various departments as needed.
  • Assist with data entry, filing, and document organization.

Job Type: Full-time

Pay: From AED2,000.00 per month

Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • receptionist/admin assistant/secretary: 1 year (Required)
