Job Summary
AIG Group of Companies is seeking a professional and well-organized Receptionist cum Administrator to manage front-desk operations and provide administrative support to ensure the smooth day-to-day functioning of the office. The role serves as the first point of contact for visitors and clients, maintaining a welcoming and professional environment while supporting internal teams with administrative and coordination tasks.
This position is open to European candidates currently based in the UAE. Freshers are also encouraged to apply.
Key Responsibilities
Reception & Front Office
- Greet and assist visitors, clients, and business partners in a professional and courteous manner
- Manage incoming calls, emails, and correspondence, and direct them appropriately
- Maintain visitor logs and ensure compliance with office security procedures
- Schedule meetings, manage meeting rooms, and coordinate refreshments when required
Administrative Support
- Provide general administrative and clerical support to management and departments
- Handle office documentation, filing systems (physical and digital), and data entry
- Assist in preparing reports, presentations, and official correspondence
- Manage office supplies, stationery, and coordinate with vendors
- Support calendar management and travel arrangements when required
Office Coordination
- Liaise with internal teams to ensure smooth communication and workflow
- Coordinate with couriers, service providers, and facility management
- Ensure the reception area and common spaces are well-organized and presentable at all times
Compliance & Professional Standards
- Maintain confidentiality of company information and records
- Adhere to company policies, professional conduct, and data protection standards
Qualifications & Experience
Education
- Bachelor’s degree or diploma in Business Administration, Office Management, or a related field preferred
Experience
- 1–3 years of experience in a receptionist, front office, or administrative role
- Prior experience in a corporate, real estate, or professional services environment is an advantage
Skills & Competencies
- Excellent verbal and written communication skills in English
- Knowledge of additional European languages is an advantage
- Strong organizational, multitasking, and time-management abilities
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Professional appearance with a customer-focused attitude
