Receptionist/Administrative Assistant

Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and excellent customer service. Duties

  • Greet visitors, clients, and staff warmly, providing exceptional customer service at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately with professional phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for scheduling, correspondence, and document management
  • Support office management tasks such as calendar management, appointment scheduling, and organizing meetings
  • Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Perform clerical duties including photocopying, faxing, mail distribution, and maintaining organized filing systems

Qualifications

  • Proven office experience with strong computer literacy and familiarity with office management software such as Microsoft Office and Google Workspace
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Demonstrated customer service skills with professional phone etiquette and clear communication abilities
  • Bilingual proficiency is preferred to serve diverse clients and team members effectively
  • Experience with data entry, proofreading, filing systems, and basic bookkeeping (QuickBooks knowledge is a plus)
  • Strong typing skills along with time management capabilities to handle multiple responsibilities efficiently
  • Previous experience as a receptionist or administrative assistant in healthcare or dental settings is advantageous but not required; relevant personal assistant experience is also valued
