Receptionist/Administrative Assistant

Job Summary
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Duties

  • Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle front desk operations including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
  • Support bookkeeping activities, including invoicing and expense tracking, to assist with financial record keeping
  • Coordinate office supplies inventory and assist with general office management duties to maintain an efficient workspace

Requirements

  • Proven office experience with strong clerical skills and familiarity with administrative procedures
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry systems
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks and manage time efficiently
  • Knowledge of bookkeeping software like QuickBooks or similar tools is a plus
  • Personal assistant or calendar management experience will be considered an asset
  • Demonstrated customer service skills with a professional demeanor and positive attitude
