Receptionist/Administrative Assistant

Responsibilities

  • Greet visitors warmly and direct them appropriately, maintaining a professional front desk presence
  • Manage multi-line phone systems, screen calls, and relay messages promptly and accurately
  • Handle incoming correspondence, including emails, mail, and packages with attention to detail
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Support office management tasks such as scheduling appointments, calendar management, and data entry
  • Assist with bookkeeping duties using QuickBooks or similar accounting software when necessary
  • Provide administrative support including proofreading documents, managing office supplies, and supporting team members with personal assistant tasks

Requirements

  • Durable Medical Equipment experience preferred but not required
  • Medicare/Medi-Cal insurance knowledge preferred but not required
  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent computer literacy and familiarity with data entry and filing systems
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience as a receptionist, medical receptionist, dental receptionist or in customer support preferred
  • Demonstrated ability to multitask efficiently while maintaining attention to detail and accuracy
  • Exceptional time management skills to prioritize tasks effectively and meet deadlines
