Receptionist/Administrative Assistant

Job Overview

We are looking for an organized, customer-focused Bilingual Receptionist/Administrative Assistant to join our auto body shop. The ideal candidate must be able to speak both English and Spanish in order to assist our diverse customer base.

This role is the first point of contact for customers who are dropping off vehicles, checking repair status, picking up completed repairs, or coordinating with insurance companies. A friendly, professional, and helpful attitude is essential. The ideal candidate is proactive, detail-oriented, and comfortable handling phones, paperwork, walk-ins, and customer questions in a busy shop environment.

Duties

  • Greet customers warmly and professionally when they are dropping off a vehicle, picking up a vehicle, or coming in for an estimate
  • Communicate clearly with customers in both English and Spanish
  • Manage a multi-line phone system, direct calls, and handle repair-status inquiries courteously
  • Run the front desk, including customer check-ins, vehicle drop-offs, and incoming correspondence
  • Perform data entry, filing, and recordkeeping using Microsoft Office, Google Workspace, and shop management software
  • Schedule estimate and repair appointments and manage the shop calendar
  • Proofread documents for accuracy and completeness
  • Assist with insurance paperwork, repair authorizations, and basic invoicing
  • Support bookkeeping tasks using QuickBooks or similar software when needed
  • Provide excellent customer service by answering questions, coordinating with technicians and estimators, and keeping customers updated on their repairs

Requirements

  • Must be bilingual and able to speak both English and Spanish
  • Prior experience in office administration, reception, clerical work, or customer service preferred
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Experience with Google Workspace and accurate data entry
  • Experience using multi-line phone systems and professional phone etiquette
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Strong typing and proofreading skills
  • Ability to prioritize tasks and stay organized in a fast-paced shop environment
  • Prior experience in an auto body shop, repair shop, or insurance/claims setting is beneficial but not required
  • Friendly, professional demeanor with a genuine commitment to customer service
