Overview
We are seeking a good and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. You will handle a variety of clerical tasks, manage communication channels, and support office management functions to keep our workplace efficient and professional.
Duties
- Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently.
- Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping.
- Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, scheduling, and correspondence.
- Support calendar management by scheduling appointments, meetings, and reminders for staff or executives.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to process invoices, expenses, and financial records.
- Provide exceptional customer support by responding to inquiries via phone or email with professionalism and clarity.
- Perform general office management duties such as ordering supplies, maintaining office equipment, and ensuring the workspace remains tidy.
- Support special projects or personal assistant tasks as needed to help team members stay organized and on track.
Requirements
- Proven office experience with strong clerical skills in a fast-paced environment.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and basic bookkeeping.
- Experience managing multi-line phone systems with professional phone etiquette.
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual abilities are highly desirable to assist diverse clients and team members.
- Previous experience as a receptionist, medical or dental receptionist preferred; familiarity with front desk operations is a plus.
- Knowledge of QuickBooks or similar accounting software is advantageous for handling bookkeeping responsibilities.
- Exceptional attention to detail for proofreading documents and maintaining accurate records.
- Ability to handle confidential information discreetly while providing excellent customer service.
- Personal assistant experience or calendar management skills are beneficial for supporting team members’ schedules.
