Receptionist/Office Administrative Coordinator

GEI Consultants, Inc. is seeking a Receptionist/Office Administrative Coordinator for our Wakefield, Massachusetts office. The person will manage the reception desk and perform office administrative tasks, including supporting our project teams in delivering high-quality work products to our clients. The Receptionist/Office Administrative Coordinator will work closely with the Regional Office Manager and with administrative, technical, and corporate staff.

Essential Responsibilities & Duties
  • Perform administrative tasks such as managing reception, scheduling conference room meetings including setting up and breaking down the rooms, coordinating catering orders, managing office supplies and equipment, assisting with staff event registrations, and conducting staff onboarding and offboarding.
  • Sort and distribute incoming mail and packages and make shipping arrangements.
  • Format and edit memorandum, reports, technical documents, invoices, and correspondence. Assist technical and administrative staff in meeting GEI Quality Objectives by proof reading, formatting, editing, distributing, and filing documents.
  • Process and maintain certificates of insurance.
  • Assist staff in preparing project information and announcements in PowerPoint and upload them to internal display kiosk.

Minimum Qualifications
  • Outstanding interpersonal and communication skills.
  • Organized with a high level of attention to detail and schedule.
  • Advanced application of Microsoft Word, Excel, PowerPoint, and Adobe/Bluebeam Revu skills, including automating documents, formatting, and proofreading.
  • Associate or bachelor’s degree (accounting, business administration, sciences, or similar preferred) with 2 or more years of administrative experience.
  • Valid driver’s license.
  • Notary license or ability to obtain is preferred.
