Job Title: Receptionist & Reservations Secretary

Job Summary:

We are seeking a professional, organized, and customer-oriented Receptionist & Reservations Secretary to join our Vacation Homes team. The ideal candidate will be responsible for welcoming guests, managing reservations, maintaining office administration, and ensuring smooth daily operations at the front desk.

Accommodation or transportation allowance may be provided.

Key Responsibilities:

  • Guest Relations:
  • Welcome guests and visitors with a friendly and professional attitude.
  • Provide information about available vacation homes, services, and local attractions.
  • Handle guest inquiries, complaints, and requests promptly and efficiently.
  • Reservations Management:
  • Manage booking inquiries through phone, email, and online platforms (Airbnb, Booking.com, etc.).
  • Update and maintain the reservation system and calendar.
  • Confirm bookings, prepare invoices, and coordinate check-in/check-out schedules.
  • Administrative & Secretarial Duties:
  • Maintain organized records of clients, contracts, and correspondence.
  • Prepare reports, meeting minutes, and basic accounting entries.
  • Support management with scheduling, filing, and document preparation.
  • Assist in marketing and communication tasks, including social media updates and guest reviews follow-up.
  • Office Coordination:
  • Answer phone calls, route messages, and manage email correspondence.
  • Ensure office supplies and materials are adequately stocked.
  • Liaise with housekeeping, maintenance, and operations teams to ensure guest satisfaction.

Requirements:

  • Diploma or Bachelor’s degree in Business Administration, Hospitality, or related field.
  • Minimum 1–2 years of experience in reception, reservations, or administrative roles (preferably in hospitality or real estate).
  • Excellent communication skills in English (Arabic is an advantage).
  • Strong organizational, multitasking, and problem-solving abilities.
  • Proficient in MS Office (Word, Excel, Outlook) and reservation platforms.
  • Professional appearance and positive attitude.

Working Conditions:

  • Full-time position based in Muwailih/ Sharjah.
  • May include weekend or holiday shifts as required.

Job Type: Full-time

Pay: AED2,000.00 - AED3,000.00 per month
