Role Summary

ChaiVision currently has no owner for its returns P&L. Returns are processed but not managed. There is no disposition strategy, no cost tracking, no recovery optimization, and no visibility into what returns are actually costing the business. That is a margin leak with no one watching it.

This role builds the returns function from scratch. The Returns & Cost Optimization Manager owns the full reverse logistics lifecycle — from inbound return receipt through disposition, cost reconciliation, and recovery. The goal is not just to process returns faster but to systematically reduce their cost impact and extract maximum recoverable value from every unit that comes back.


What You'll Do

Returns Function & Process Design

  • Build the returns management function from the ground up — processes, workflows, tracking, and reporting
  • Coordinate with 3PL and warehouse partners on returns receiving, inspection, and disposition execution
  • Monitor the inbound returns queue daily and ensure disposition SLAs are on track
  • Document all processes you build so the function scales beyond you as the organization grows

Returns P&L & Cost Tracking

  • Own the returns P&L: track all return-related costs including inbound freight, processing, disposition, and write-offs
  • Work with Finance to ensure returns costs are accurately captured in Sage Intacct and reflected in channel P&Ls
  • Report weekly to the Head of Logistics on return volume, cost per return, recovery rate, and trend analysis
  • Identify and implement cost reduction opportunities across the returns lifecycle

Disposition Strategy & Recovery Optimization

  • Develop and execute a disposition strategy for returned inventory — resell, refurbish, liquidate, or destroy — optimized for cost recovery
  • Ensure 100% of returned units are assigned a disposition within 10 business days of receipt
  • Track and benchmark returns cost per unit to drive continuous improvement in recovery rates
  • Evaluate and manage liquidation channels and secondary market options to maximize value extraction from returned goods

Analytics & Cross-Functional Coordination

  • Analyze return reason data across all channels (Amazon, Walmart, DTC) to identify product, fulfillment, and quality patterns driving return volume
  • Deliver monthly return reason analysis, cost trend reports, and recovery rate reviews to leadership
  • Complete quarterly full returns P&L reconciliation and present cost optimization recommendations
  • Collaborate with marketplace teams (Amazon, Walmart) on return data and dispute management, and with operations on return reason data and policy alignment

Who You Are

  • You have worked in reverse logistics or returns management before — you know the operational and financial complexity of managing product returns at scale
  • You think in unit economics — every return has a cost, a disposition path, and a recoverable value, and you track all three
  • You are a builder — this function does not exist yet, and you are energized by starting from zero and creating structure where there is none
  • You are analytical — you use data to identify patterns in return reasons and cost drivers, not just to report on them but to act on them
  • You communicate with operations and finance fluently — this role sits at the intersection of both, and you bridge the gap naturally
  • You are process-driven — you document what you build so it scales beyond you and becomes repeatable

Qualifications

  • Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Finance, or a related field
  • 3+ years of experience in reverse logistics, returns management, or supply chain cost optimization
  • Strong analytical skills with experience building and managing P&L tracking for logistics or operations functions
  • Experience working with 3PL partners and managing disposition processes for returned inventory
  • Proficiency in Excel for cost modeling, trend analysis, and reporting — experience with ERP systems (Sage Intacct or similar) is a plus
  • Familiarity with Amazon, Walmart, and DTC return processes and dispute management workflows
