About the Role
We’re looking for a Safety & Compliance Manager / Personal Assistant who can take charge of fleet safety and compliance operations while providing direct administrative and executive support to the owner of a growing trucking company.
This is a dual role for someone who’s organized, proactive, and confident in managing DOT compliance, driver files, and fleet operations—while also assisting with scheduling, communication, and company management tasks.What You’ll Do
Fleet Safety & Compliance
- Oversee and maintain all DOT and FMCSA compliance for the trucking fleet.
- Manage driver qualification files, insurance, IFTA, registrations, permits, and maintenance logs.
- Monitor ELD reports and driver hours of service (HOS) for accuracy.
- Conduct safety meetings and driver training sessions as needed.
- Track and improve CSA scores; handle inspections, violations, and audit preparation.
- Investigate accidents or incidents and maintain proper documentation.
- Coordinate with dispatch and maintenance teams to ensure fleet safety and regulatory readiness.
Personal Assistant to the Owner
- Manage emails, calls, and daily communication between the owner and staff.
- Schedule meetings, manage calendars, and assist with travel or event planning.
- Organize and maintain driver files, binders, and company documents.
- Pull MVRs and ensure driver credentials remain active and compliant.
- Collect and manage maintenance records, receipts, and compliance documents.
- Handle after-hours calls and communication on behalf of the owner when necessary.
- Support dispatch, safety, and accounting departments with administrative coordination.
- Utilize and update internal systems such as Trucking Pedia and Exompass.
- Take on additional projects or administrative tasks as assigned.
Who You Are
- 2+ years of experience in trucking compliance, fleet safety, or DOT administration.
- Strong understanding of FMCSA regulations, audits, and reporting.
- Experience managing driver records, ELD systems, and compliance software.
- Excellent communication, organizational, and multitasking skills.
- Comfortable working independently and directly with ownership.
- Prior experience as a personal assistant or executive support role is a plus.
- Proficiency with Microsoft Office, Google Workspace, and logistics management tools.
