Sales Administrator

Job Description – Sales Administrator

Location: [Factory Location – Tamil Nadu]
Department: Sales
Reports To: CEO

Role Purpose

To ensure disciplined sales execution through accurate order processing, credit control, data reporting, route coordination, and performance tracking across CROs and channel partners.

This role converts field activity into measurable performance.

2. Key ResponsibilitiesA. Order Management & Billing

  • Receive and validate orders from CROs/dealers
  • Verify stock availability (Bran / Mixed Feed / Pellet)
  • Check credit limits and DSO before dispatch
  • Coordinate with dispatch/logistics
  • Ensure zero billing errors

B. Credit & DSO Control

  • Track dealer outstanding daily
  • Maintain credit limit dashboard
  • Block dispatch if limit exceeded (with escalation protocol)
  • Send weekly ageing report to CEO
  • Coordinate payment follow-ups with CRO

C. Sales Performance Tracking

  • Maintain daily sales tracker (SKU-wise, cluster-wise)
  • Track CRO route adherence
  • Compare target vs achievement
  • Monitor new dealer addition
  • Maintain active vs inactive dealer list

D. Cluster & Route Governance

  • Maintain dealer master database (cluster tagged)
  • Map dealers geographically
  • Track visit frequency per CRO
  • Identify scattered dealers and suggest rationalization

E. Data & Reporting

  • Daily Sales Report (by 5 PM)
  • Weekly cluster performance sheet
  • Monthly sales MIS (Volume, GP, DSO, Scheme impact)
  • Maintain SKU contribution report

F. Coordination

  • Coordinate between Sales, Production, Accounts & Logistics
  • Inform production about fast-moving SKUs
  • Alert CEO on stock-out risk

Technical Skills

  • Advanced Excel (Pivot, VLOOKUP/XLOOKUP, dashboards)
  • Basic accounting knowledge
  • ERP familiarity (preferred)
  • Data analysis mindset

Behavioral Skills

  • Ability to handle pressure

5. Qualification & Experience

  • B.Com / B,SC maths/BBA / MBA (Finance / Marketing preferred)
  • 1–3 years experience in sales coordination / accounts / MIS
  • Experience in FMCG / agri-input / feed industry preferred
