Sales Administrator — Job Description (Sports Academy)
Role Overview
The Sales Administrator supports the academy’s growth by managing inquiries, converting leads into enrollments, coordinating with marketing, and ensuring smooth communication between parents, coaches, and management. This role is critical to maintaining high occupancy across all sports programs and delivering excellent customer experience from first contact to renewal.
Key Responsibilities
Lead Management & Sales Support
- Handle all incoming inquiries (calls, WhatsApp, website, social media)
- Provide accurate information about programs, schedules, venues, and pricing
- Qualify leads and recommend suitable programs based on age and level
- Follow up consistently to convert inquiries into registrations
- Maintain daily lead tracking and conversion reports
- Coordinate with the marketing team on new leads and campaigns
- Ensure every lead receives timely responses (same day whenever possible)
Registration & Enrollment
- Process new registrations and renewals
- Prepare invoices, payment links, and receipts
- Verify student details and documentation
- Update enrollment status in the system
- Manage waiting lists and trial bookings
- Ensure classes are filled to target capacity
Customer Communication
- Serve as the primary point of contact for parents and students
- Handle questions, complaints, and schedule requests professionally
- Send reminders for sessions, renewals, and outstanding payments
- Follow up with inactive or old customers to encourage return
- Maintain a friendly, professional tone aligned with academy standards
Administration & Reporting
- Maintain accurate records of students, payments, and attendance
- Prepare daily/weekly sales reports
- Track conversion rates and identify improvement areas
- Monitor class occupancy across branches
- Support management with data for decision-making
Scheduling & Coordination
- Coordinate trial sessions with coaches and site managers
- Manage class transfers, make-up sessions, and schedule changes
- Communicate updates to parents and coaching staff
- Ensure smooth operation across multiple locations
Retention & Growth
- Proactively follow up on expiring packages
- Promote new programs, camps, and seasonal offers
- Support upselling and cross-selling across different sports
- Help maintain high retention rates
Required Skills & Qualifications
- Experience in sales administration, customer service, or front desk roles (sports/education preferred)
- Strong communication skills (phone, chat, and written)
- Highly organized with attention to detail
- Ability to multitask in a fast-paced environment
- Proficiency in basic computer systems and CRM tools
- Friendly, patient, and solution-oriented personality

Reporting Line
Reports to: Operations Manager / Sales Manager / Academy Director
Works closely with: Marketing team, Site Managers, and Coaches
Job Type: Full-time
Pay: AED3,500.00 - AED4,500.00 per month
