Sales Assistant (International – Admixture Industry)

Position Title - Sales Assistant (International Markets)
Department -Sales / Commercial
Reports To - Sales Manager / Regional Sales Manager

1. Position Purpose

The Sales Assistant acts as a project coordinator and information hub between customers, sales, technical, production, logistics, and finance teams.

The role ensures smooth project execution, continuous order flow, accurate customer feedback, and effective support for new business development in international markets.

2. Key Responsibilities

2.1 Project Tracking & Order Process Management

  • Create and maintain customer and project records in CRM systems
  • Track the full sales process:

Inquiry → Quotation → Sample → Trial → Order → Delivery → Payment

  • Monitor project milestones and identify risks or delays
  • Prepare weekly/monthly project status reports for sales management
  • Follow up with customers to support decision-making and order progression

  • Risk & delay alerts
  • Sales progress summaries

2.2 Product Quality & Technical Service Coordination

  • Serve as the first point of contact for customer quality or application inquiries
  • Collect, document, and classify customer feedback related to:
  • Product performance
  • Stability and compatibility
  • On-site usage issues
  • Coordinate with Technical Engineers for analysis, solutions, or site support
  • Track corrective actions and ensure feedback is closed in a timely manner
  • Communicate solutions and outcomes back to customers

Role boundary

•Does not perform laboratory testing or make technical judgments
•Coordinates, tracks, and communicates technical responses

2.3 Customer Inventory & Product Usage Feedback

•Regularly collect customer data on:
•Current inventory levels
•Monthly consumption rates
•Product types and dosage usage
•Identify risks of stock shortage or overstocking
•Provide early warnings to sales and supply chain teams
•Support rolling forecast and replenishment planning

  • Order forecast recommendations
  • Inventory risk alerts

2.4 New Order & Business Development Support

This role supports, not replaces, the Sales Manager.

  • Identify reorder and upselling opportunities based on usage and inventory data
  • Support repeat orders and volume expansion for existing customers
  • Assist in identifying:
  • New projects at existing customer sites
  • New product trial opportunities
  • Prepare quotations, samples, and documentation for new opportunities

Typical Scenarios

  • Inventory decreasing → reorder reminder
  • Stable product performance → volume expansion suggestion
  • New project detected → trial coordination

3. Cross-Functional Coordination

  • Sales Team: project status, customer strategy, follow-ups
  • Technical Team: trials, technical feedback, issue resolution
  • Production & Logistics: delivery schedules, shipment coordination
  • Finance: invoicing, payment follow-up, credit control

5. Qualifications & Skills

  • Bachelor’s degree preferred
  • Experience in construction chemicals / admixtures / industrial products preferred
  • Strong coordination and communication skills
  • Data-oriented mindset (inventory, usage, forecasting)
  • Basic technical understanding (not a technical decision-maker)
  • Fluent English required; additional languages are a plus
