Job Purpose</b></h2><p>
The Receptionist / Front Desk Executive will be responsible for managing the front desk operations, ensuring a professional and welcoming experience for visitors, employees, and external stakeholders. The role requires excellent communication skills, strong organisational abilities, and a customer-focused approach to efficiently manage visitor handling, telephone communication, administrative support, and workplace coordination.</p><h2 class="jobSectionHeader"><b>
Education &amp; Experience</b></h2><ul><li>
Bachelor's degree in Business Administration, Management, or a related field.</li><li>
Minimum 2&ndash;3 years of relevant experience in reception, front desk, administration, or customer service roles.</li></ul><h2 class="jobSectionHeader"><b>
Skills &amp; Competencies</b></h2><ul><li>
Excellent verbal and written communication skills in English and Urdu.</li><li>
Pleasant, professional personality with a customer-focused and problem-solving attitude.</li><li>
Proficiency in MS Office (Word, Excel, Outlook) and general computer literacy.</li><li>
Familiarity with IP telephony systems (e.g., 3CX) and multi-line phone handling is preferred.</li><li>
Strong organisational and multitasking skills with attention to detail.</li><li>
Ability to maintain confidentiality and handle sensitive information with discretion.</li><li>
Active listening skills and the ability to remain calm and courteous under pressure.</li></ul><h2 class="jobSectionHeader"><b>
Key Responsibilities</b></h2><h3 class="jobSectionHeader"><b>
Reception &amp; Visitor Management</b></h3><ul><li>
Welcome visitors professionally, guide them to relevant departments, and maintain visitor records/cards.</li><li>
Coordinate with HR/Admin teams for visitors, interviews, and official appointments.</li><li>
Maintain reception area cleanliness, required supplies, and first-aid availability.</li><li>
Handle visitor inquiries and report suspicious activities or sensitive visits to management/HR.</li></ul><h3 class="jobSectionHeader"><b>
Telephone &amp; Communication Management</b></h3><ul><li>
Answer and transfer calls professionally to the appropriate departments and CX helplines.</li><li>
Ensure phone systems, internet connectivity, and communication tools are operational and report issues promptly.</li><li>
Arrange callbacks, conference calls, and provide support to employees regarding phone system usage.</li><li>
Maintain updated contact directories and ensure important messages are delivered accurately.</li></ul><h3 class="jobSectionHeader"><b>
Mail, Courier &amp; Records Management</b></h3><ul><li>
Receive, sort, distribute, and maintain records of couriers, parcels, and official documents.</li><li>
Maintain records of CVs, invitations, correspondence, and related documentation.</li><li>
Ensure confidentiality of official mobile numbers, contact details, and sensitive information.</li></ul><h3 class="jobSectionHeader"><b>
Administrative &amp; Clerical Support</b></h3><ul><li>
Manage meeting room bookings and support meeting arrangements.</li><li>
Perform clerical duties including data entry, typing, documentation, and record maintenance.</li><li>
Support HR activities for new employees and maintain stationery inventory records.</li></ul><h3 class="jobSectionHeader"><b>
Monitoring &amp; Reporting</b></h3><ul><li>
Monitor official vehicle activities and prepare daily reports.</li><li>
Support monitoring of staff schedules, CCTV-related tasks, and workplace cleanliness.</li><li>
Escalate issues related to calls, visitors, facilities, or operational matters to relevant stakeholders.</li></ul><p>
