. Office & Administrative Management

  • Handle day-to-day administrative operations, including correspondence, filing, document management, and office supplies.
  • Maintain a well-organized and safe office environment in compliance with QHSE (Quality, Health, Safety & Environment) standards.
  • Coordinate meetings, appointments, and travel arrangements for management and project staff.
  • Manage incoming and outgoing communication, courier, and mail distribution.

2. Project & Document Support

  • Assist in maintaining project-related documentation such as drawings, transmittals, approvals, and correspondence.
  • Work closely with document control and engineering teams to ensure accurate and timely documentation flow.
  • Maintain registers for project documentation, vendor records, and contractual documents.

3. Procurement & Logistics Coordination

  • Support procurement by preparing purchase requisitions, obtaining quotations, and coordinating with suppliers and contractors.
  • Track material deliveries, invoices, and ensure timely follow-up with vendors.
  • Arrange logistics for personnel and materials between office, site, and client facilities.

4. HR & Compliance Assistance

  • Maintain employee attendance, leave records, and timesheets for office and project staff.
  • Support HR with onboarding, induction, and mobilization/demobilization processes for employees and subcontractors.
  • Ensure administrative activities comply with company standards, legal, and regulatory requirements.

5. Financial & Reporting Responsibilities

  • Assist in managing petty cash, office expenses, and administrative cost tracking.
  • Prepare periodic administrative and logistics reports for management.
