The Senior Contract Specialist will provide comprehensive administrative and operational support to Contracting team, ensuring the seamless execution of daily operations. This role involves managing administrative tasks, supporting projects, preparing reports and presentations, coordinating schedules, and maintaining effective communication with internal and external stakeholders. Additionally, you will oversee business travel arrangements, monitor third-party bookings, assist with reporting, and enhance departmental efficiency through process improvements.
- Provide high-level administrative support, including:
– Managing administrative tasks
– Coordinating ad-hoc projects
– Preparing weekly, monthly, and yearly reports and presentations
– Overseeing third-party bookings and resolving issues with internal stakeholders
- Support the Regional Contracts Managers (CMs) with reporting and analysis
- Support Hotel Optimization and Connectivity Manager with quality audits for rates and availability
- Provide technical support and guidance on system related issues / queries
- Create and manage filing systems (both electronic and physical), ensuring confidentiality and data security
- Coordinate schedules, arrange meetings, and prepare/distribute reports and memos
- Track progress on special projects and company objectives
- Manage business travel arrangements for key personnel
- Develop, review, and refine administrative systems, policies, and procedures
- Draft and edit various business documents, including letters, reports, and instructional materials
- Assist with additional administrative tasks such as document processing, note-taking, and logistics planning
- Track and analyze supplier performance, rate competitiveness, and booking trends.
- Provide insights on market trends and opportunities to enhance sourcing strategies.
- Ensure contracts and pricing align with WebBeds' commercial goals and competitive positioning.
- Maintain and update supplier data, mapping details, and contract status reports.
- Work closely with Contracts Managers to support business objectives
- Assist in preparing weekly and monthly reports on contract performance
- Ensure all sourcing activities comply with internal policies and industry best practices.
- Contribute to process improvements that enhance efficiency and contract execution.
- Strong understanding of B2B hospitality, tourism business models, and electronic distribution channels.
- Excellent presentation, communication, and organizational skills
- Ability to multitask and manage competing priorities effectively.

- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Power BI
- Minimum 2+ years of experience in travel, tourism, or hospitality administration
