About the Role:

The Senior Executive Assistant plays a pivotal role in supporting top-level executives by managing complex schedules, coordinating high-level meetings, and facilitating seamless communication across departments. This position requires a proactive approach to anticipating the executive's needs and ensuring that all administrative functions are executed with precision and confidentiality. The role demands exceptional organizational skills to handle multiple priorities simultaneously while maintaining a high level of professionalism. The Senior Executive Assistant acts as a trusted liaison between executives and internal or external stakeholders, enhancing operational efficiency and contributing to strategic initiatives. Ultimately, this position is essential in enabling the executive to focus on leadership and decision-making by providing comprehensive administrative support.


Salary Range:

$85,000 – $95,000 annually

The Senior Executive Assistant utilizes advanced organizational skills daily to manage complex schedules and coordinate multiple priorities efficiently. Strong communication skills are essential for drafting clear correspondence and facilitating effective interactions between executives and stakeholders. Proficiency with technology, including Microsoft Office and collaboration platforms, enables the assistant to prepare presentations, manage data, and streamline workflows. Problem-solving and critical thinking skills are applied to anticipate executive needs and resolve scheduling conflicts proactively. Additionally, discretion and professionalism are consistently employed to handle sensitive information and maintain trust within the executive office.


Minimum Qualifications:

  • Bachelor’s degree or equivalent experience in business administration or a related field.
  • Minimum of 15 years of experience supporting C-suite leaders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Exceptional organizational and time management skills with the ability to multitask effectively.
  • Strong written and verbal communication skills.
  • Familiarity with project management software and collaboration tools such as Microsoft Teams, Slack, Trello, mind mapping, and Confluence.
  • Experience working in a fast-paced corporate environment or within a large organization.
  • Demonstrated ability to manage confidential and sensitive information with integrity.

Preferred Qualifications:

  • Advanced proficiency in data analysis and report generation.
  • Certification as an Executive Assistant or Administrative Professional (e.g., CAP, PACE).
  • Experience with AI tools.


Responsibilities:

  • Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and edit correspondence, reports, presentations, and other documents with a high degree of accuracy.
  • Coordinate and facilitate communication between executives, team members, and external partners to ensure timely information flow.
  • Organize and support executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with discretion and maintain a high level of professionalism in all interactions.
  • Assist with special projects and research as needed to support executive decision-making.
  • Oversee and prioritize incoming requests and communications to optimize executives’ time and focus.

Work Environment

Physical Requirements
