Senior Officer - Admin Operations

We are currently seeking a Senior Officer - Admin Operations for one of our very well-known client, to be based in their Dubai office.


Job Purpose:

The job holder is responsible for delivering comprehensive administrative support across the organization, encompassing coordination of administrative operations, efficient document management, and facilitation of travel arrangements.


Job Description:

  • Manage travel arrangements with a focus on cost-effectiveness, ensuring expenses remain within the approved travel budget.
  • Oversee day-to-day administrative activities to ensure smooth operations of outsourced administration services such as
  • Serve as the primary point of contact for internal teams and external stakeholders requiring administrative assistance.
  • Coordinate with various departments to address and facilitate outsourced operational requirements.
  • Manage office supplies, vendor services, and facility-related needs to ensure seamless support.
  • Contribute to the preparation and administration of the annual budget, including forecasting resource requirements (staffing, equipment, materials, and supplies) and monitoring Actual vs. Budget for all administrative expenses across Head Office and Branches .
  • Maintain, update, and securely manage records related to outsourced services and administrative operations.
  • Ensure effective filing systems are in place for efficient and accurate document retrieval.
  • Prepare and submit periodic reports on administrative and outsourced operations.
  • Ensure compliance with organizational policies and procedures in all administrative activities.
  • Support audits and inspections by providing accurate, complete, and timely documentation.
  • Organizes and supervises the activities and work of subordinates to ensure that all work within a specific area of the activity is carried out in an efficient manner which is consistent with operating policies and procedures. Also, provide on-the-job training and constructive feedback to subordinates to support their overall development.


Skills:

  • Bachelor’s Degree in relevant field.
  • Full Professional Proficiency in English Language.
