Position Summary:
The Senior Operations Manager is responsible for overseeing the day-to-day operations of the Firebird Institute of Research In Management College, ensuring the effective and efficient execution of educational and administrative services. The role involves managing both academic and non-academic operations, ensuring that all activities support the college’s mission, enhance the student experience, and contribute to the institution’s growth and excellence.
Key Responsibilities:
- Operational Management:
- Oversee the smooth functioning of administrative and academic operations, including timetabling, student enrollment, admissions, and examinations.
- Ensure that operational processes are streamlined for efficiency, from faculty onboarding to resource management.
- Coordinate between departments to ensure that academic programs, events, and activities are delivered without interruption.
- Manage and improve day-to-day operations of the campus, including classrooms, IT infrastructure, libraries, and other student facilities.
- Academic Support:
- Work closely with the academic team to ensure that the programs are aligned with the institution’s objectives and are being delivered effectively.
- Assist in the development and execution of academic calendars, exam schedules, and other critical timelines.
- Ensure that students have access to necessary academic resources such as lecture halls, study materials, and faculty support.
- Budgeting and Financial Management:
- Prepare, manage, and monitor the department’s budget, ensuring cost-effective management of resources.
- Implement cost-saving initiatives without compromising the quality of academic delivery or student services.
- Oversee procurement and allocation of resources (books, materials, etc.) needed for academic programs.
- Faculty and Staff Coordination:
- Collaborate with faculty and administrative staff to ensure smooth operational workflows.
- Support faculty recruitment, onboarding, and professional development programs.
- Resolve issues or conflicts involving faculty, staff, or students in an efficient and timely manner.
- Student Services and Experience:
- Ensure that students’ needs are met, providing them with appropriate support for academic and extracurricular activities.
- Oversee student services such as counseling, career support, placements, and extra-curricular activities.
- Ensure smooth functioning of hostel facilities, student events, and campus life.
- Process Improvement and Compliance:
- Identify opportunities for process improvements in areas like admissions, registration, academic performance tracking, and student feedback.
- Ensure that the college adheres to all relevant regulatory requirements, accreditation standards, and quality assurance processes.
- Implement continuous improvements to ensure the institution remains competitive in terms of student experience and academic outcomes.
- Strategic Planning and Growth:
- Collaborate with the leadership team to develop long-term strategic plans for operational excellence and institutional growth.
- Analyze trends in education, particularly in business management programs, and propose relevant strategies for the college.
- Play a role in developing new initiatives or partnerships to support the college’s goals, including corporate tie-ups, internships, and research collaborations.
- Event Management:
- Organize and manage key events such as orientation programs, guest lectures, conferences, workshops, and alumni gatherings.
- Ensure that events are executed seamlessly, with attention to details like logistics, guest management, and post-event evaluation.
- Technology and Infrastructure Management:
- Ensure that the college’s IT infrastructure supports operational needs, including learning management systems (LMS), student databases, and communication platforms.
- Work with IT teams to manage and upgrade software tools and technologies for both academic and administrative purposes.
- Ensure that the physical campus infrastructure (classrooms, auditoriums, libraries, etc.) is well-maintained and ready for use.
Skills and Qualifications:
- Education:
- A Bachelor’s degree in any field (preferably in Management, Business Administration, or Operations) is required.
- Experience:
- Minimum of 2–3 years of experience in operations management, ideally in the higher education sector or in a corporate environment.
- Prior experience in managing academic institutions is a strong plus.
- Experience with budgeting, process optimization, and resource management.
- Skills:
- Leadership: Ability to lead and manage cross-functional teams, including academic and administrative staff.
- Communication: Strong interpersonal and communication skills to work with faculty, staff, students, and external stakeholders.
- Project Management: Proficiency in planning, executing, and monitoring projects, with an emphasis on academic events, curriculum delivery, and operational improvements.
- Problem Solving: Ability to troubleshoot issues and find innovative solutions to improve operations.
- Technology Proficiency: Familiarity with learning management systems (LMS), enterprise resource planning (ERP) software, and other operational tools commonly used in education.
- Analytical Skills: Ability to analyze data and make data-driven decisions to improve operational efficiency.
- Other:
- Strong knowledge of educational policies, regulatory guidelines, and industry best practices in the higher education space.
- Ability to manage multiple priorities in a fast-paced and dynamic environment.
