Summary
Northline Seafoods is a seafood processing company seeking an experienced and motivated Senior Vessel Administrator to lead all administrative, personnel, housing, and office systems aboard the Hannah, a stationary floating processing facility anchored near Dillingham, AK. This role serves as the senior on-site administrative leader, responsible for maintaining accurate records, coordinating crew logistics, supporting payroll and compliance documentation, providing HR support, including assisting with employee inquiries and investigations, and ensuring seamless communication between vessel and shore operations. Operating in a 24/7 remote environment with approximately 100 crew members, this position ensures disciplined office systems, clean documentation, and smooth crew administration throughout the season.

Essential Duties
Vessel Office & Administration

Manage daily vessel office operations and administrative staff

Maintain master crew roster, room lists, muster lists, and shift records

Ensure real-time updates to all crew movement documentation

Maintain organized regulatory binders and audit-ready records, as needed during the season

Coordinate vessel communication with corporate and shore offices
HR and Payroll Support

Serve as a trusted HR partner to the HR Manager, assisting with employee investigations as needed.

Supervise and oversee timekeeping processes, ensuring accurate attendance at shift changes.

Review and investigate missed punches or discrepancies, guiding HR/office assistants as needed.

Oversee payroll corrections and coordinate with HR to ensure timely adjustments.

Ensure labor documentation accuracy and facilitate final pay-period sign-offs.

Assist HR/office assistant with injury-related inquiries or claims as needed.
Crew Logistics & Personnel Administration

Coordinate onboarding, offboarding, and personnel documentation

Assign housing and maintain room records

Manage travel coordination and required paperwork

Support documentation of disciplinary actions and personnel matters

Maintain confidential and accurate employee records
Compliance & Safety Documentation

Track required trainings and certifications

Maintain safety meeting logs and drill documentation

Support inspections through complete and organized documentation
Inventory & Purchasing Coordination

Track in-season office, safety, and crew gear inventories

Maintain asset check-in/check-out logs

Coordinate in-season supply orders and confirm receipt of critical items

Preferred Qualifications
All other duties as assigned.

5+ years in office management or administrative leadership (marine, seafood, or remote operations preferred)

Strong payroll, documentation, and compliance systems experience

Exceptional organization and discretion in personnel matters

Ability to operate calmly in a 24/7 seasonal environment

Proven ability to lead under pressure with clarity, decisiveness, and resilience

Familiarity with remote operations, crew dynamics, and safety culture

Willingness to work long hours in a confined, fast-paced, and physically remote setting

Previous experience working aboard a processing ship is a definite plus.

Ability to implement and train staff in safety protocols emphasizing Coast Guard regulations.

Ability to work 12+ hour days 7 days per week over a 70+ day season.

The Senior Vessel Administrator role requires the ability to work long hours in a physically and mentally demanding environment. Candidates must be able to work 12+ hour days, 7 days per week over a 70+ day seasonal period aboard the Hannah barge in Bristol Bay, AK. The role requires mobility throughout the vessel, including office areas, crew quarters, and operational spaces, and the ability to lift and carry up to 25 pounds of supplies, gear, or office items as needed. Candidates should have the stamina to remain on their feet for extended periods, maintain focus during long, fast-paced shifts, and adapt to the variable and sometimes harsh environmental conditions of Alaska. Additionally, the role demands manual dexterity and endurance for detailed administrative tasks, including computer work, document management, and maintaining organized records while coordinating multiple priorities in a 24/7 operational setting.
