The Soft Services Manager is responsible for delivering high-quality non-technical services within the facility, ensuring a clean, safe, secure, and welcoming environment for all users. This includes overseeing or delivering services such as cleaning, security, reception, pest control, waste management, and catering in accordance with service-level agreements and health & safety standards.

Key Responsibilities:

  • Deliver and/or supervise soft services, including:
  • Cleaning and housekeeping
  • Front-of-house / reception duties
  • Waste management and recycling
  • Pest control coordination
  • Security support (e.g., managing access, liaising with guards)
  • Catering and vending services (where applicable)
  • Monitor quality standards and conduct regular audits/inspections.
  • Ensure compliance with health, safety, and environmental policies.
  • Maintain records, incident logs, and service checklists.
  • Handle minor service complaints and escalate major issues.
  • Liaise with contractors and service providers for scheduled work.
  • Support the Facilities Manager with service improvement plans and cost control.
  • Participate in emergency procedures and site evacuations as needed.

Qualifications & Skills:

  • Previous experience in soft services or facilities management (1–3 years depending on role level).
  • Strong understanding of cleaning, security, and hospitality protocols.
  • Good organizational and time management skills.
  • Basic knowledge of health & safety and hygiene regulations.
  • Professional appearance and excellent customer service skills.
  • Ability to work independently and as part of a team.
  • IT literacy (e.g., email, report writing, using CAFM systems) is a plus for coordinator/manager roles.

Working Conditions:

  • May involve shift work, including evenings, weekends, or holidays.
  • Role may require physical activity (walking, standing, cleaning tasks).
  • Uniform and ID badge must be worn while on duty.

Preferred Certifications (Optional):

  • BICS (British Institute of Cleaning Science) or equivalent
  • First Aid Certificate
  • Health & Safety (e.g., IOSH or COSHH awareness)
  • Security (e.g., SIA License, if security duties included)

  • Basic health & safety knowledge.
  • Customer-focused and team-oriented.
  • IT skills (for coordinators/managers).
