Specialist, Business Support – Business Support Department

Purpose:

The purpose of this role is to act as the key liaison between the University and Egyptian Governmental bodies, such as The General Department of Passports, Immigration and Nationality, Ministry of Higher Education, Ministry of Manpower, to secure work permits, residency, and necessary visas for all relocated non-Egyptian faculty, administrators, staff, and international students. The role involves complex procedural management, advising non-Egyptian personnel, and managing the financial logistics of government fees.


Responsibilities:

Governmental Liaison and Representation:

  • Act as the key contact person for relocated personnel at the Egyptian Immigration Office
  • Represent the University before the Ministry of Higher Education and Ministry of Manpower regarding work permits and residency approvals

Visa and Residency Processing:

  • Prepare and manage all formalities related to work permits, passport matters, residence visas, and entry or exit visas for faculty members, administrators and international students, this includes coaching, interpreting, advising, and applying on their behalf

Financial and Fee Management:

  • Responsible for the effective utilization and tracking of the government work permit and residency fee budget, EGP 3 million per year, this includes reviewing, validating, and submitting all related documentation for payment

Policy Compliance and Updates:

  • Monitor changes in Egyptian immigration laws, rules, and procedures and advise the assistant director on compliance
  • Provide non-Egyptian personnel with accurate and up-to-date guidance

Administrative Coordination:

  • Maintain accurate physical and electronic records and produce daily logs and monthly status reports for management

Egyptian Passport Renewal:

  • Handle the Egyptian passport renewal and legalization of documents from the Ministry of Foreign Affairs
  • General Administrative Support: Perform other related duties as requested


Requirements:

Minimum Education Requirements:

  • University degree in a related field

Experience:

  • Minimum of five to seven years of previous experience in a related field, preferably in an educational institution dealing with non-Egyptians and visa matters

Skills:

  • Communication: Fluency in English and Arabic, verbal and written, is a must, with competence in multiple languages being a plus
  • Core Skills: Strong personality, persuasive and convincing in arguments
  • Exceptional verbal, written, interpersonal, analytical, and problem-solving skills
  • Work Ethic: Detail-attentive and multi-task efficient
  • Able to work independently and effectively handle shifting priorities, including working additional hours or weekends as required by the Immigration office
