SubContracting Admin

At least 5 years of experience, Yard experience preferred.

1.Manage awarded Mod Yards Subcontracts

2.Prepares the amendments to the Subcontracts.

3.Manage official correspondence with Subcontractors, including receiving and replying to letters.

4.Ensure the construction site team's compliance with contractual provisions in Subcontracts.

5.Advise the Yard Manager on any circumstances or events impacting the anticipated schedule, cost, or performance of the subcontract.

6.Manage Variation Requests from Subcontractors, evaluating their contractual and financial entitlement in accordance with established construction guide procedures.

7.Advise the yard Manager of potential claim situations, propose mitigation strategies. Prepare a program to review any claims received from subcontractors;

8.Formalise settlement of disputes or disagreement to ensure Company's contractual protection until work completion,

9.Ensure the collection and consolidation of necessary information for the dispute-free completion and closure of subcontracts.

10.Provide accurate weekly reports on project subcontract matters to key stakeholders. 11.Coordinate continuously with partners and clients to foster a collaborative and cohesive project environment.

12.Prepare and issue Calls for Bid, negotiate, prepare, and award local Subcontracts, ensuring compliance with all relevant requirements.

13.Attend subcontract meetings (progress, technical, and commercial), Prepare and issue Minutes of Meeting (MoM) for all subcontract meetings

14.Provide the supervision and inspection team with assistance and information regarding subcontract terms and conditions.

15.Prepare and/or approve monthly certifications from subcontractors. Maintain a comprehensive list of received, approved, and monthly paid certifications.

16.Responsible for extra work administration (OTS/ FEWOS), maintaining an updated list of extra works presented, approved, or rejected, based on the applicable format;

17.Responsible for the administration and management of all generated back charges, ensuring proper application and communication to relevant parties;

18.Manage and update the back charges list, including all originated, accepted, and executed back charges, following the applicable format;

19.In terms of Quality, ensure that Modular Yard Quality Requirements are properly applied and considered in the regular Subcontract Admon. as well as on any additional scope of work accepted by the Yard Manager

20.In terms of HSE, to support the Yard Manager implementing the E&C policy - modular yard direct man-hours will not be included in E&C/AL safety statistics. Therefore, HSE management relying on Modular Yard Organization and E&C supervision team limited basically to i) gap analysis and ii) audit the modular fabrication.
