Position Title: Systems & Operations Manager

Location: Islamabad (Onsite)

About the Role:

AIO runs on a set of internally built systems — HubSpot workflows, a Claude-powered Inventory Management System, a custom internal reporting tool, and a growing set of operational automations. These systems are the connective tissue between sales, support, billing, and engineering. They need an owner.

As Systems & Operations Manager, you will own, maintain, and improve these platforms. This is a technical role with a strong operational lens: you need to understand how the business works in order to build the systems that make it run better.

What will your responsibilities be?

HubSpot Architecture & Maintenance

  • Own HubSpot as the system of record for AIO's customer-facing operations: marketing, sales, billing, support, and Jira escalation workflows
  • Maintain and improve the existing workflow architecture — understanding what each workflow does, why it was built, and how it fits the broader process
  • Build new workflows and reporting capabilities as AIO's processes evolve
  • Serve as the internal HubSpot expert and the first escalation point for workflow issues across teams

Claude-Powered Internal Tools

  • Maintain and improve the Inventory Management System built on Claude — including infrastructure on Vercel and GitHub
  • Maintain and improve the internal Hub Reporting tool also built on Claude
  • Build new AI-assisted operational tools as the business identifies new needs
  • Ensure reliability, uptime, and documentation for all internally built systems

Process Digitization & Workflow Automation

  • Translate operational processes into structured, system-enforced workflows — reducing manual handoffs and human error
  • Work cross-functionally with the US operations team, sales, and support to identify friction points and build tooling that removes them
  • Document all systems, workflows, and integrations so that institutional knowledge is captured and transferable

Reporting & Data Visibility

  • Build and maintain reporting dashboards in HubSpot and internal tools that give leadership real-time visibility into team capacity, deployment SLAs, and customer health
  • Ensure data integrity across systems — proactively identifying and resolving inconsistencies between HubSpot, inventory tools, and other platforms

What are we looking for and what does it require to be the right fit for this role?

  • 3+ years experience in a systems, operations, or technical operations role
  • Deep, hands-on HubSpot experience — workflows, pipelines, reporting, and integrations. This is a hard requirement, not a nice-to-have
  • Demonstrated experience building with AI tools, ideally including Claude, OpenAI, or similar LLM APIs
  • Comfort with Vercel, GitHub, and modern web deployment infrastructure
  • A systems thinker who can look at a manual process and see a better-automated version of it
  • Strong documentation discipline — you leave things better documented than you found them
  • Able to work effectively with a US-based operations team across time zones
  • Restaurant industry or hospitality tech context is a plus but not required

What this is not

This is not a pure engineering role, and it is not a traditional business analyst role. It sits deliberately between the two. You need to be technical enough to build and maintain production systems, and operationally literate enough to understand the business problems those systems are solving.
