Temporary Event Management Coordinator

Job Summary:

We are seeking a Temporary Event Management Coordinator to support our organization in successfully planning and executing a series of events geared towards the education sector that will take place between November 2025 to April 2026 in different countries (no requirement to travel). The ideal candidate will be responsible for establishing participants database (per country), sending invitations, ensuring attendance, and handling administrative tasks. This temporary position offers an exciting opportunity to contribute to the smooth running of events and make a positive impact.

Responsibilities:

· Establish a comprehensive database of potential participants for the various events based on the target audience targeted for each event.

· Collect, organize and maintain relevant contact information, ensuring accuracy and completeness.

· Sending out invitation letters letters, emails, or other forms of communication to potential participants.

· Follow up with participants to confirm their attendance (via emails and phone), answer inquiries, and provide additional information as needed.

· Identify suitable venues with best deals for each event, taking into account capacity, location, and other requirements

· Contact and negotiate with venues to secure bookings, ensuring all necessary arrangements are made and contracts are in place.

· Assist with event logistics, including coordinating transportation, accommodation, catering, and other related arrangements.

· Assist with on-site event coordination, including setup, registration, and attendee support. Only in the case of events happening in the UAE.

· Updating different social media channels with information about different events.

· Collaborate with cross-functional teams and external vendors to ensure smooth event operations.

· Contribute to post-event evaluations and reports, gathering feedback and identifying areas for improvement.

· Creating and formatting various ‘professional-looking’ documents and power point presentations

· Carry other administrative support activities as needed by the organization.

Requirements:

· Previous experience in event planning and coordination.

· Excellent English written and verbal communication skills – Arabic speaking candidates with excellent English will be prioritized

· Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.

· Proficiency in using databases, spreadsheets, and other relevant software (MS Office) for data management and administrative tasks

· Attention to detail and a high level of accuracy in data entry and record-keeping.

· Ability to work independently as well as part of a team,

· Flexibility to work during evenings/ weekends as needed

Job Types: Full-time, Temporary
Contract length: 6 months

Pay: AED4,500.00 per month
