Tender Executive – GEM / E-Procurement (HVAC & Electrical)

About the Role:
We are seeking a proactive and detail-oriented Tender Executive skilled in managing end-to-end e-procurement via the Government e‑Marketplace (GeM) portal and other e-tender portals. The ideal candidate will have experience in HVAC and electrical sectors—particularly in preparing, submitting and tracking tenders/contracts for HVAC systems and electrical works.

Key Responsibilities:

• Monitor, identify and evaluate relevant tenders/RFQs/RFPs on GeM and e-procurement portals for HVAC, electrical works and service contracts.
• Analyze tender documents (NITs, BOQs, specifications) for HVAC & electrical scope, eligibility criteria, technical/commercial requirements.
• Coordinate with internal teams (engineering – HVAC/Electrical, procurement, finance) to compile required documents, technical datasheets, certifications, pricing.
• Register and maintain company/vendor on GeM portal, upload/maintain product/service catalogues (HVAC spares, maintenance services, electrical works
• Prepare bid proposal: technical bid, commercial bid, complying with tender norms, prepare comparative statements, pricing schedules.
• Submit tenders before deadlines, manage bid security/EMD/BGs if required.
• Track bid status, attend pre-bid meeting, handle clarifications from procuring entity.
• Upon award, coordinate with contract teams for handover, documentation, follow-ups (e.g., AMC-HVAC systems, electrical installation/maintenance).
• Maintain MIS reports of tenders: submitted, won, pending; prepare analysis of win-loss, feed insights to management.
• Ensure compliance with procurement rules/regulations, keep abreast of GeM portal updates and government e-procurement norms.

Required Qualifications & Experience:

• Graduate (Engineering diploma/degree, preferably in Mechanical/Electrical/Instrumentation) – beneficial but not mandatory if strong procurement experience.
• Minimum 2-5 years of experience in tendering or procurement, especially in GEM/e-procurement portals.
• Strong understanding of HVAC systems (chillers, AC units, ventilation, building services) and electrical works (power distribution, lighting, wiring, switchgear).
• Familiarity with GeM portal operations (registration, catalogue/upload, bid submission) and other state/national e-tender portals.
• Good MS Office skills (Excel for BOQ, pricing sheets; Word for documents; PowerPoint for presentations) and strong documentation habits.
• Excellent communication and coordination skills to liaise among engineering, procurement, finance and government buyers.
• Ability to work under deadlines, manage multiple tenders simultaneously, maintain high accuracy.
• Desirable: Experience in service contracts (AMC, O&M) for HVAC/Electrical systems, and knowledge of contract terms (EMD, BG, LC, local content, bidder eligibility).

Desired Skills:

• Experience in preparing BOQs/Costing for HVAC/Electrical works.
• Exposure to government project procurement (PSUs, government buildings, infrastructure) and familiarity with terms like “similar work”, “completion certificate”, etc.
• Knowledge of vendor management, supplier quotations, cost negotiation.
• Good analytical skills for comparing bids, tracking tender performance.
